4.Pre-interview telephone calls

Making an appointment

Good news: the recruiter wants to meet you. Don’t miss your opportunity!

  • Get to the point, without asking too many questions. The aim is to make an appointment, that's all.

  • Show your pleasure in being invited for interview, ask for details (name of your contact person, of the company, place to meet, etc.), ask the person to repeat if you don’t understood fully and go back over the details at the end, e.g.: “I've got that down: meeting on Tuesday 10 to 11am with Mrs So-and-so, for the position of Marketing Manager, in your offices at 5 High Street, across the courtyard?”

Call made by the candidate

Many candidates call recruitment firms and ask to speak to the relevant consultant to find out whether they have received their CV. Bear in mind that this type of call is usually taken by an assistant and that in 9 out of 10 cases the candidate tells her that he has received the recruitment company’s email confirmation... If you manage to speak to the consultant use the call to give her extra information in order to sell yourself. Preparation and self-assurance are essential!

Telephone calls

A head-hunter or an in-house recruitment manager have three main reasons to call a candidate:

  • Confirmation of individual points from your CV (salary level, knowledge of a foreign language, details on your last job, technical expertise, etc.): make sure you reply accurately, as this may save you a wasted journey. If you feel that you tick all the boxes, try to get an appointment.

  • First selection process: this allows the recruiter to eliminate candidates who don’t have the required profile and places you in a competitive situation. Your first aim should be to find out more about the recruiter's expectations and to highlight the elements of your CV which are assets for the position. This is the first step in the process: your aim must be to make an appointment.

  • Telephone interview: a genuine job interview. You need to be in the same mindset and stick to the same rules. If you don't have the time or are not in a good position to take the call (at work, in your car, etc.), ask to postpone the interview and set a precise timeslot.

Headhunt call

Out of the blue, a head-hunter calls you at your workplace! The roles are reversed: she is the one who is trying to sell you the position. Be friendly, ask her to explain the position she has available and give her the information she needs to check that you satisfy her requirements.
Even if you are not interested, don’t hang up on her.

The golden rule is to make a good impression and to make the most of the call to make a contact. Try to see the big picture: this could be useful for you, for example when you are actively looking for work again. If possible, try to help the head-hunter by telling her of people who may fit the bill.
