Your Mission:

The Administrative Officer’s main role is to implement the corporate support administrative processes among Support Functions and in relation with the Business Lines to insure a link with operational teams and fully functional processes across the organization.

Your Role in a Nutshell:

  • Participate to Direct / Indirect Costs Monitoring actual vs budget (travel, training, VDI, other costs) - explanations of variations based on data received, Value for Money initiatives identification and follow-up;
  • Participate to the support for annual budget process of all Support Functions & periodical forecast reviews: schedule and templates, Headcount collection centralization, intra and inter Business Lines billability and non-billability validation, staff costs per profile validation with HR and FIN department;
  • Ensure compliant deployment of transversal procedures, ensure compliant archiving (electronic/paper) across the organization;
  • To record with the General Registry the in/out correspondence received using archiving techniques and procedures;
  • Maintain the company records and documents archive within the company’s tools
  • Key quality & compliance role on administrative transversal processes;
  • To act as an interface and ensure the communication between the Support Functions and external and internal factors under optimal efficiency and confidentiality circumstance;
  • To follow-up the development of the relationship established with all EBS to ensure a comfortable level of mutual trust and lead to mutually beneficial cooperation within the company;
  • To prepare workflows for the team activity;
  • All others administrative activities of the Department;
  • Any ad-hoc reporting requested by the management;

Profile Required

A little about You:

  • Previous experience and knowledge in Audit/Contract Management/ Banking;
  • Minim 2 years relevant professional experience in Corporate Law;
  • Intermediate level in project management;
  • Fluency in French and English.
