Responsibilities

Day-to-day Operations

  • Strategically managing the Head and Deputy Head’s time: working with assistant, looking at long term travel calendar, evaluating opportunities and determining fit with priorities
  • Ensure GBIS governance is in place, agendas are set, minutes are taken, cascades agreed and actions are tracked so that time is well spent and objectives are achieved.
  • Reviewing upcoming meetings for the week to ensure the Head and Deputy have all of the information, sending out agendas or documents to meeting attendees as necessary
  • Reviewing internal and external communications: drafting company communications, reports, pitch decks or presentations.
  • Manage preparations for senior visitors – eg agendas, presentations, external visits, etc.
  • Stand-in for Head or Deputy where they are unable to attend calls or meetings
  • Disseminate critical information, provide periodic up-dates and deliver various organizational communication to the teams in the perimeter as well as address any concerns or grievances.
  • Focus on methods to increase engagement within the organisation. Drive a culture of floor walks and town-halls, "fun @ work" initiatives etc.
  • Very close working relationship with the COO for GBS to ensure to have the right level of management oversight for all key functions delivered and managed

 
Strategic Planning and Initiatives

  • Assist in setting the GBIS strategic priorities: Helping the Head and Deputy identify the areas where they must direct their focus and identifying metrics for success. Revisiting regularly and evaluating progress. 
  • Manage / sponsor initiative / projects on behalf of the Head - GBIS or acting as a temporary measure whilst project structure and resourcing is being finalized
  • Researching, benchmarking, analyzing data, and making recommendations.
  • Acting as the sounding board to their boss for new ideas and initiatives.
     

Profile required

Qualifications

  • Strong academic background preferably with an MBA
  • Experience in the IB environment and knowledge of IB operations is extremely critical.
  • Experience and strong knowledge of managing a function composed of diverse transversal functions in a matrix organizational structure

  • Good understanding of the CIB business and needs of CIB’s clients
