The Chief of staff role is defined by its ability to provide strategic support and counsel to APAC COO. The position is a key component in supporting successfully GBSU in general and the head of GBSU in particular. The Chief of Staff is the go-to person for GBSU unit heads as well as for other departments seniors. He/she is a trusted advisor who ensure confidentiality of the information that has to be handled.

At its core, a Chief of Staff is responsible for:
•    Operational support
•    Strategic planning & initiatives
•    Internal and external communication

Role & Responsibility:

•    Assist APAC COO in the day-to-day duties
•    Coordinate GBSU in significant projects in the Region while ensuring change management
•    Lead strategic transformation impacting Regional set up / organization
•    Create and maintain cross-GBSU unit relationships to enable leadership success
•    Seize any opportunity to bring innovation & best practices and disseminate across the Region when appropriate
•    Respect the SG Group Code of Conduct and embody the SG Group Leadership Model

Actively participate and contribute in all-round COO activities:

Operational support and steering:
•    Supporting APAC COO to follow up on strategic steering (e.g. Business Reviews, Board of Directors, Strategic programs, relay for ASIFMA) as well as operational steering (GBSU ExCo organization/planification).
•    Monitoring information flow: sometimes acting as a gatekeeper, ensuring APAC COO involvement in a project or decision-making process at the right moment.
Strategic planning:
•    Setting APAC COO strategic priorities. Helping to identify: 1) the areas where APAC COO must direct his focus and 2) Objectives and Key Results for GBSU. Revisiting priorities regularly and evaluating progress.
•    Strategically managing APAC COO time: working with assistant, looking at long term travel calendar, evaluating opportunities and determining fit with priorities.
Change management:
•    Contributing to transversal projects/initiatives being driven by either local or global team
•    Be a key actor of GBSU organizational transformation
•    Bringing together multiple stakeholders and helping to drive decisions

Meeting & event preparation:
•    Meeting preparation and follow-up: reviewing upcoming meetings for the week to ensure APAC COO has all of the information needed to be productive and sending out agenda or documents to meeting attendees as necessary
•    Managing the meeting cadence, agenda, ensuring material are sent in advance, time is well spent, and objectives are achieved
•    Planning and leading GBSU + GTS townhalls, on-site, seminars, step backs and other special events

Internal & external communication:
•    Reviewing internal and external communications: drafting newsletters, speeches and preparing all presentations for APAC COO.
•    Collecting and providing regular market intelligence, Group articles/posts to APAC COO to ensure proper activity, visibility on Social Media (e.g. LinkedIn)

This role has a dual reporting line:
•    Hierarchically to GBSU/COO
•    Functionally to GBSU head (e.g. APAC COO)


GBSU is a matrix working environment that requires the incumbent to be highly mature to work professionally with both functional and geographical teams in the region and in the Head Office.

Profile required

•    Senior VP to Director experience, at least 12 years of experience; ideally with a mix of production and project experience.
•    Strategic, reliable and self-motivated, ability to prioritize and work independently and under pressure.
•    Fast learner and high adaptability.
•    Strong problem-solving skills and highly attentive to details.
•    Excellent analytical skills and ability to work efficiently and effectively within a matrix organization.
•    Excellent interpersonal and communication skills (written/spoken); ability to communicate effectively with senior executives, stakeholders and GBSU’s employees. .
•    Strong sense of confidentiality and maturity in handling sensitive information.
