Description of the Business Line or Department

Kleinwort Hambros (KH) is one of the leading private banks in the Channel Islands (CI) and has Bank & Trust operations in both Jersey and Guernsey with a further Trust business in Asia. The CI group has 378 staff across the Channel Islands.

The CI Finance Chief of Staff (CoS) reports into the CFO for SG Kleinwort Hambros Bank (CI) Ltd and operates from the Jersey office within the Channel Islands (CI) and is part of a team of 8 Finance staff covering the following functions:

  • Financial, Management, Regulatory and tax reporting;

  • Operational processes and Control; and
  • Accounts Payable/Scanning

The CoS is an operational role and while no headcount reports into the role the incumbent needs to build significant relationships with in the DFIN community and with other department heads in the CI and UK

Summary of the key purposes of the role

  • Monitoring the month end process for both regulatory & financial accounting to ensure all necessary tasks are completed in a timey manner. Carry out reviews of the team’s output to agreed controls to maintain accuracy and completeness. Understand key roles within the department and help reduce key man dependency and risk. Develop action plans to cover any gaps identified during the review process and work with the team to eliminate

  • Act as CTB (change the Bank) project lead for CI finance team for both internal and cross departmental projects. Attend OPCO meetings. Organise workshops with the finance team to ensure changes are communicated and documented within the run team. Issues are escalated to the CFO

  • Owner of the tax reporting process for the CI Group, including the monthly tax calculation, annual tax returns, annual ISE registration, ETI reconciliations, coordinating with the team to ensure tax liabilities are reflecting in the various company accounts. Gathering tax information for our tax agents. Updating quarterly GTC (Global tax centre) concerning tax risks & controls. Ensure transfer pricing documentation is maintained and enhanced where necessary. Ensure SLA’s between entities are well maintained

  • Together with the team help ensure finance processes are standardised & streamlined and procedures regularly updated

  • Identifying and taking on ad hoc strategic projects (for example, executing key initiatives or closing any operational gaps) for the CI team

  • Organise workshops with the team to review & document changes to IFRS standards to help the team incorporate these into the group and statutory financial statements of the Bank & Trust company

  • Owner of the interim and annual Client assistance schedule (CAS) process within the finance team, ensuring information is gathered, analysed and documented within the auditor’s portal in a timely manner. Act as a point of contact for the business in CI

  • Owner of internal & external audit recommendations including documenting remediation plans & implementing them. Ensure deadlines are respected and recommendations are signed off in the Bank’s internal tool KART

  • Coordinate annual JFSC national risk assessment and GFSC financial flow data reporting for the Bank

  • Complete annual RCSA assessment for both regulatory and financial accounting processes

  • Act as alternate for the CFO within internal meetings

Qualified accountant, with Big 4 audit experience
