Responsibilities

1. Assist daily tasks (receiving phone calls pro-actively, pick up sales phone calls from clients during their absence or off desk, time management, mail & e-mail management, planning and preparation of internal and client meetings, calls, VC, conferences, booking rooms) and make sure if it is set-up properly with the help of IT if necessary
2. Handle the schedule of SG senior management visitors for Dept to Tokyo.
3. Arrange business trip, internal / external event, other entertainment for Dept. with communication.
4. Maintain databases (visitors schedule, seminars, events etc) to proceed the secretary tasks smoothly.
5. Back up for other personal assistants including Senior Coverage.
6. Manage invoices to proceed the payment process. Handle expense report and reimbursement for team via expense system timely and make necessary actions with relevant entities if it is not processed properly
7. Maintaining the adequate office supplies and checking regularly if all machines work properly including printers, vending machines, copy machines etc. and take necessary steps coordinating with relevant department / processing for ordering additional business cards and presentation stocks for Dept. as requested
8. Secretarial support for additional responsibility for unexpected / urgent request from team at the practically satisfactory level of speed and flexibility. (Contributes to team effort by accomplishing related results as needed.)
9. Maintains customer database by inputting customer profile and updates in CRM tool IC.
10. Establishing and Maintaining Interpersonal Relationships -- Developing constructive and cooperative working relationships with others and maintaining them over time.
11. Coordinating among assistants to ensure a proper back-up in case of absence

Profile required

1. Proficient in Japanese and English

2. Knowledge of Excel / Power Point / Outlook and communication tools (TEAMS, Skype, ZOOM etc..)

3. Excellent communication externally and internally

4. Previous experience in similar position is a plus

5. Responsible for your work

6. Being a team player (good at co-working with others)
