Description of the Business Line or Department

Provide comprehensive secretarial and administrative support to a team of bankers in GLBA/SYN/LOA and GLBA/SYN/LOA/DIS. Ensuring a very high level of client service and seamless liaison with colleagues in all global locations.

Summary of the key purposes of the role

  • Management of team’s very busy diaries, ensuring that the most effective use is made of their time.  This will involve keeping abreast of any meetings/conference calls/trips etc, handling requests for appointments and amendments and frequent liaison with both internal and external clients.
  • Excellent communication skills written and oral, presenting a professional and articulate persona at all times.  Must also be clear, confident and polite dealing with internal and external parties at all levels, whether by email, face to face and by telephone.
  • Each banker works differently, the secretary needs to understand what is required of them – weekly meetings with bankers will ensure that they are up to date with his/her diary – plan ahead in an efficient way.

Summary of responsibilities 

  • Extensive diary management and planning for team (which involves working with internal / external senior executive Personal Assistants and Team Secretaries)
  • Global liaison: communicating with both internal and external clients at a very high level
  • Organising functions and events which involves clients (e.g. MIPIM Cannes cocktaill reception, Wine tasting, Annual Rugby Match)
  • Assist Syndicators in organising Lender meetings.
  • Extensive travel organisation (including processing visas accurately and in a timely manner)
  • Expense processing alongside complying to  SG Travel and Expense policy.
  • Ensuring expense reports relating to projects are up to date so that they can be invoiced
  • Process IPREO DD invoices and other business expense invoices ensuring correct cost centers are charged and/or recharged to client on timely manner.
  • Ensuring client’s recharged invoice paid on time.
  • Answering telephones in a professional manner and being a gatekeeper for co-heads when they are travelling or busy
  • Maintaining Peoplesoft (Société Générale absence management system)
  • Updating Client and staff contact lists
  • Covering other secretaries bankers as and when necessary (during holidays and off sick)
  • Ensuring teams are following compliance rules and procedures such as GEMS, Cross Border and CTA.
  • Assist Syndicators in organising Lender meetings.
  • Assist in editing presentations and business reports.
  • Providing support to the Loan Sales team such as covering for Sales Trainee
