Responsibilities

OPEX Management

  • Data Analysis and Reporting – Monthly review and analysis of spend data and trends
  • Daily oversight of automated data and reports from vendors including the follow-up with vendors(s) if data and reporting fails or is missing
  • Monthly oversight and monitoring of DFIN and PS Expense data
  • Creation & distribution of expense dashboards and KPI’s – coordinating development and production with Bangalore Support Team
  • Process Improvement
  • Monitor and improve expense controls and processes (i.e. requisitions, expense coding/tracking and approval process)
  • Policy Documents & Website Maintenance
  • Maintain regional expense policies and governance documents and articulate changes to management
  • Ongoing updates of website for expense policies and procedures
  • Improve reference documents for expense policies
  • DMA Invoice management
  • Define and monitor budget need based on Applications management and Vendors feedback
  • Monthly invoice processing and reconciliation against budget, through coordination with other regions and Bangalore team

Performance reporting / presentations for senior management:

  • Coordinate collection of information to prepare ad hoc presentations for senior management
  • Draft presentations so it clearly gives the message senior management wants to convey
  • Enhance reporting platform to efficiently and consistently deliver key messages and indicators across all of COO Pilotage activities

As part of the COO/PIL in AMER:

  • In conjunction with the head of COO Pilotage in the Americas, ensure that the team strategy and objectives are delivered, with a focus on client services and efficiency
  • Contribute to organizational / cross-functional / span of control projects
Help in staff planning needed for space location moves

Experience Needed:

  • Minimum 3+ yrs experience in financial budget and forecast analysis particularly on expenses
  • Presentations and interactions with senior management

Desired / Plus:

  • Worked in an international environment, complex matrix organization

Educational Requirements:

  • BS Degree in Business, Finance, Economics or equivalent.

Languages: (Other than English)

  • Knowledge of French language is a plus

Department Summary:

The COO Pilotage Support team closely supports the GBSU COO in AMER and its Executive Committee (ExCo) and is responsible for:

  • OPEX management & policies monitoring based on local and global updates; monitoring process through the monthly closing governance (Finance, OPEX vendors …)
  • DMA invoices management including budget preparation, monthly invoices processing and reconciliation, alignment with other regions for recharge process and parallel reconciliation with our Bangalore team
  • Performance reporting including management status updates and presentations to GBSU Executive Committees, both locally and globally; clients, both internally (Front Office, Finance, Human Resources, Audit) and externally (Regulators)
