Description of the Business Line or Department

The Corporate Services team of Kleinwort Hambros administers structures as hedge funds, private equity funds, open ended funds, fund of funds and securitisation products.

Summary of the key purposes of the role

The successful candidate will have a senior role in the Corporate Services team, assisting with the administration of the Lyxor funds and a portfolio private equity, collectives, securitisation and custodian trustee clients.

The Lyxor team are predominantly responsible for a group of Jersey regulated hedge funds. Their principal role is the oversight of functions outsourced to Paris and Luxembourg, as well as the Corporate Governance, Company-Secretarial, regulatory and compliance activities required in the administration of Jersey funds.  NAV calculations, investor take-on/ dealing and financial accounts preparation are outsourced for these funds but subject to local oversight.

Assist with the administration of a portfolio of Jersey & Guernsey clients in the private equity, collectives, securitization and custodian trustee team within the Corporate Services team.

Summary of responsibilities 

  • To prepare for and lead the committees of oversight covering Fund performance, operational and compliance matters. Critically evaluate information received. Review or draft minutes of meetings.
  • To follow up on operational, compliance or other matters arising, liaising with the various teams locally or abroad as well as lawyers, auditors etc.
  • Attend oversight meetings of service providers
  • Manage the receipt of and review reporting receivable
  • To prepare for and attend Fund Board meetings including board pack preparation, presenting at meetings and drafting/reviewing minutes.
  • To manage the relationship with auditors and fund accountants, review accounts for filing.
  • To manage the relationship with the Lyxor INEDs
  • To monitor compliance with Jersey law and regulations including CIF regulations and outsourcing rules.
  • Ensure compliance of the funds with Kleinwort Hambros Risk and Compliance procedures, and other operational procedures.
  • Assist in identifying and implementing policies and procedures in the department to ensure compliance with laws, regulations, undertakings to clients and good practice together with the monitoring of same
  • Prepare regulatory reporting and notifications.
  • Lead/be part of regulatory and Compliance projects as they arise
  • Manage the relationship with the client, meet client expectations and formulate solutions to client issues.
  • Coaching, supervision and mentoring of more junior members of the team and conduct reviews of work
  • Cash management, fees, debtor control, invoices and payments.
  • Prepare management information
  • Liaison and communication with clients, advisors, auditors and intermediaries both internal and external
  • Attend client entities board/committee meetings and maintain minute books
  • Despatch valuations/reports and other information to clients within client expectations and deadlines
  • Making regulatory filings for client entities within deadlines
  • Maintain share/unit/investor registers and prepare all required certificates
  • Preparation and collection of all fees within the timescale stipulated in client fee agreements
  • Review all documentation that needs to be executed within area of responsibility
  • Assist in identifying and implementing policies and procedures in the department to ensure compliance with laws, regulations, undertakings to clients and good practice together with the monitoring of same
  • Manage and assist in the completion of adhoc projects from time to time that impact the team and the Company as a whole
  • Assistance with the oversight of the Guernsey Trustee Custodian business
  • Oversight of trade processing – investment restrictions & sanctions checks etc
  • Review of non-Lyxor fund NAVs
  • Maintain client static data on Nav One
  • Any other Fund Administration activities/projects as required
  • General administration duties

Profile required


  • Professional Qualification i.e. ICSA, STEP, ACCA or ACA
  • 6 years working experience within the wider Finance industry
  • Minimum of 4 years working experience within the Financial Services industry, specialising in Funds
  • Experience in Funds and Company Administration, preferably of Jersey regulated Funds.
  • Good understanding of the relevant laws and regulations of the Jersey Jurisdiction; including Collective Investment Funds, Anti-Money laundering and Outsourcing rules.
  • Thorough understanding of the features of the different types of Fund structures
  • Effective communication skills (oral and written); ability to grasp complex matters and document them effectively.
  • Effective interpersonal skills
  • Good numeracy skills.
  • Ability to understand routine and bespoke documents, and critically evaluate financial statements
  • Extensive working knowledge of Microsoft packages including Excel, Outlook, and Word
  • Ability to deal with conflicting demands under pressure
