Description of the Business Line or Department

Global Technology Services (GTS) is a global transversal IT infrastructure support team covering all aspects of IT Infrastructure across the Bank.

This includes, Digital Workplace Services Server, Backup, Storage, Cloud and Networks and Connectivity and Datacentre, Database etc.

The Digital Workplace Services Team is a global team that supports all aspects of the Digital Workplace, this includes the Windows Desktop Environment (OS and Services) , Unified Communications (Trader Telephony, Skype Telephony and Skype for Business, Mobile Telephony and EMAIL) and User Support (IT Helpdesk, Tradefloor Support , Proximity Support)

Summary of the key purposes of the role

The role of the Digital Workplace Services (DWS) Communication officer is to facilitate our end users adoption of the Digital workplace services and tools by actively promoting and communicating their availability, benefits and usages. The purpose is to enable users the right level of information to get the best value from our services and improve their own productivity.

The role is divided into four main categories

Promotion and awareness of our services: Promote the availability, benefits and usages of our services, using multiple communication channels and mediums. Actively seek to identify users information needs and fulfill those.

Communication and design: Manage end user communications, including design and content. Act as a consultant and facilitator for communication needs within the DWS team. Assist DWS management in the design of presentations and marketing materials that are given to the business.

User community manager: Act as the UK community manager for user focus group (Digital Coaches), by actively engaging with them via various channels with the purpose of relaying and receiving information about the workplace.

Event management: Coordinate and\or assist in events hosted by DWS that help to promote and create awareness our services.

A secondary objective will be to assist with end user communication for the wider GTS department

Summary of responsibilities

The main responsibilities of the Digital Workplace Communication officer are:

Digital workplace promotion and awareness

  • Assist in creating communication material that helps to drive digital adoption of our services  
  • Work with DWS teams to help promote DWS services and products using digital communication methods
  • Use analysis methods such as surveys \ user feedback and from other DWS teams, such as knowledge management, to anticipate users information needs and plan to fulfil those
  • Adhere to internal DWS communication governance and standards
  • Create a monthly Digital Workplace Newsletter
  • Create weekly tips and tricks with the assistance of support staff

Communication and Design

  • Manage all DWS communications to end users in UK
  • Identify and use multiple communication channels to push information
  • Manage and consult on communications for DWS projects
  • Manage French to English translations
  • Work with comms team in Paris to ensure emails sent centrally to UK users are validated within the UK
  • Work with UK comms team to ensure their standards and policies are adhered to
  • Manage UK\EMEA distribution mailing lists

Community Manager

  • Ensure that the creation of and changes to services are communicated to the community
  • Ensure that the information passed back from the community is relayed to the right teams
  • Create content for and help host the community meetings

Event management

  • Coordinate and\or assist events hosted by DWS
  • Contribute to event ideas that help promote our services and tools

GTS Communications

  • Manage the design and sending of end user communications requested by the wider GTS department

  • Degree in Art, design, communications, language, marketing or other relevant subject is desirable

  • French speaking is desirable but not essential
