Transfer Agent - Private Markets – Dealing - M/W
Responsibilities
Mission: The TA Registration is the contact person for both Asset Managers and investors for TA Registration queries. He collects investors' documentations, performs KYC/AML reviews and processes to investors' account opening.
Tasks and responsibilities:
Ownership of Funds allocated :
- Be aware of the specifics of your Funds and have a funds card updated with all specificities in place and keep this updated regularly
- Be aware about all relevant deliverables (Statements, reporting) the client expects and the related timing (to be added to funds card)
- SLA needs to be in place for all the clients under service, make sure to follow up with Management on that until implemented
- Be aware of when the annual audit will take place and assist FA and audit team for any document requested
- Make sure that all funds (cash, shares) are reconciled with FA to avoid any breaks and complain from the client (checklist signed by both parties)
- For new clients which were allocated to you, make sure you join all the relevant calls / meetings and keep management and team informed about the progress (GP shares,SLA)
Quality:
- Produce "clients instructions" without error, in due time, all manual notices in timely manners and accuracy
- Maintain proper record keeping in XLS
- Ensure to mirror the event in FIA in timely and accuracy manner
- Ensure proper cash flow reporting sending in timely manner
- Update cash flow checklist and reporting checklist
- Be aware about changes in regulation and the related impact on your clients reporting
- Deliver good quality reporting to your supervisor and clients
Following procedures :
- Be aware about all procedures in place in your department and make sure you follow them. In case of doubt or problems inform your management in due time
- Always prepare and file the checklists on time in the dedicated folder
Transformation :
- Support and contribute to Alaska project (test cases, quality check, migration)
- Contribute to review/improve the process/procedure and to a smooth transition of TA activity from FPS to PER
Profile required
Operational skills :
- Advanced level of French and English
- Advanced level of German or Italian
- Good knowledge of Alternative Investment funds
- Good transversal knowledge of Transfer Agency activities
- Knowledge of the MultiFonds TA system
- Strong compliance or TA registration background
- Good knowledge of the Luxembourgish laws and regulation on AML/KYC rules in particular on complex account opening for medium and high risk investor profiles
- Knowledge of fund distribution business and AIFs
