Responsibilities

As a Sales Admin Assistant within Bernstein’s Sales Administration team, you will report to the Sales Admin Assistant Lead in London and provide day-to-day administrative support to the Sales team. You will play a key role in ensuring accurate expense processing, effective management of shared communications and reliable client interaction data. Working closely with colleagues in London and India, you will manage operational activities, resolve issues proactively and contribute to continuous process improvement while maintaining high standards of control and compliance.

Your main responsibilities will include:

·       Manage and submit Sales team expenses accurately and on time through Concur, in line with internal policies and procedures.

·       Provide back-up support for colleagues responsible for expense processing, including coverage of Sales team expenses when required.

·       Take ownership of outstanding expense-related issues and follow them through to resolution.

·       Liaise proactively with the processing team in India to investigate and resolve queries.

·       Identify and propose opportunities to improve the efficiency of the expense submission process.

·       Monitor the shared team inbox and ensure enquiries and requests are addressed promptly.

·       Categorise and prioritise messages according to urgency and importance, following up on outstanding actions as needed.

·       Maintain clear, consistent and transparent communication so that relevant team members have access to the information they need.

·       Provide concise updates and summaries, and facilitate regular team briefings to review tasks, maintain alignment and address communication gaps.

·       Support the periodic upload and submission of client interaction data, working closely with the main interaction submitter.

·       Use Excel and CRM-related tools to administer data and support interaction submission activities.

·       Contribute to continuous improvements that increase process efficiency and enhance information quality.

·       Comply with all applicable risk, regulatory and internal policy requirements relevant to the role and the business.

·       Read, understand and follow the Company’s Conduct and Standards and any corresponding regulations.

·       Keep up to date with policy changes communicated through internal announcements or intranet updates.

·       Manage routine activities with an appropriate level of autonomy and follow issues through independently within established procedures and governance.

Profile required

·       Experience in data administration and previous exposure to CRM systems.

·       Strong Excel skills and good command of the Microsoft Office suite.

·       Ability to support client interaction data submissions and contribute to process-improvement initiatives; full training will be provided for this part of the role.

·       Ability to understand and comply with internal policies, risk requirements and regulatory obligations, acting with integrity and diligence.

·       An understanding of coding would be an advantage but is not essential.

·       Effective written and spoken English, with the ability to communicate clearly and provide concise, relevant updates to a range of teams and stakeholders.

·       Strong organisational and time-management skills, with the ability to prioritise and follow up on multiple requests.

·       Excellent attention to detail and the ability to work under pressure while maintaining accuracy and meeting deadlines.

·       Proactive, practical and solution-oriented, with the ability to work independently, take ownership and follow issues through to resolution.

·       Collaborative and reliable, with a strong sense of team spirit and commitment to collective success.

·       Open to improvement and innovation.

The Sales Admin Assistant will work closely with Bernstein SG’s Sales team under the supervision of the Sales Admin Assistant Lead based in London. The role also involves regular collaboration with the main interaction submitter and liaison with the processing team in India, within an international and cross-functional environment.
