Assistant to the Country Head – M/F/D
Responsibilities

· For Corporates, Financial Institutions and Public Sector: providing a global advisory approach (M&A, debt, equity transaction, capital structure, and asset & liability management), as well as quality capital raising solutions across the debt and equity spectrum, optimized financing and expert risk management responses notably in the realm of foreign exchange and rates derivatives.
· For Investors: offering reliable and sound investment opportunities and risk management solutions through its integrated global markets platform delivering seamless access to markets (equity, rates, credit, currencies, commodities, and derivatives), as well as advice and solid financial engineering, quality of execution – both Agency and principal-, forward-looking research across asset classes, an industry-leading clearing proposition and prime brokerage services.
Mission:
You will be responsible for providing administrative support to the Country Head as a part-time position.
Tasks and responsibilities:
- Manages expenses for the Country Head (GEMS, DFIN)
- Interacts with Country Head and management to understand requirements related to client meetings and other interactions and find the most efficient way to organize those
- Organization of internal and external meetings/events
- Taking care of guests
- Responds to queries from clients and head office with regards the Country Head’s meetings and travel arrangements
- Always maintain confidentiality of the Country Head’s activities
- Manages the calendar and diary for the Country Head often connecting to regional high-level Assistants at clients, to the SG head office and other SG units
- Makes travel arrangements including hotel reservations, flight bookings, conference registrations for SG Vienna GLBA staff
- Maintains highly confidential files and records
- Generates creative solutions to work issues, trying different and novel ways to deal with organizational problems and opportunities
- Sets up systems to ensure that the Country Head’s workload is correctly prioritized and only appropriate request/information reaches his desk
- Takes minutes and centralizes agendas of specific regular meetings chaired by the Country Head (e.g.: Exco)
- Can review documents on an ad hoc basis
- Is always on the look-out to improve processes and make the Country Head’s activities more organized and efficient
- Close cooperation (e.g. holiday replacement) with facilities, entrance/door, carrier deliveries
- Close cooperation with communications team at SG Frankfurt and/or Paris on marketing and advertising orders
- Cooperation with ACHAT at SG Paris on list of approved hotels for Vienna business trips and negotiations with hotels in Vienna
- Take care of the Austrian input at SG homepages
- Exhibits a professional, calm and composed behavior
- Responds openly and warmly when appropriate
Profile required
Studies & experience:
· Graduate level education
· Extensive experience in a similar position would be a valuable asset
Language skills:
· German proficiency, both written and verbal (C1-C2)
· English proficiency, both written and verbal (C1-C2)
· French is highly welcome
Technical, operational & Soft skills:
· Computer skills (Outlook, Word, Excel, PowerPoint)
