Executive Assistant
Responsibilities
1. Calendar and Meeting Management
Manage an intricate and dynamic calendar, balancing competing priorities while maintaining flexibility and ensuring optimal time allocation.
Plan, schedule, and manage high-profile internal and external meetings, ensuring the Senior Manager is prepared with all necessary materials and insights.
Anticipate conflicts and proactively resolve scheduling challenges, often at short notice.
Lead weekly calendar strategy sessions to align priorities with the broader organizational goals.
2. Communication and Correspondence
Draft and edit critical internal correspondence to the highest standard of accuracy and professionalism.
Handle sensitive communications with discretion and tact.
Build and maintain trusted relationships with key stakeholders, clients, and senior executives.
3. Travel and Event Coordination
Orchestrate seamless and often complex travel arrangements, including commercial transport, visas, accommodations.
Provide real-time support for international travel, ensuring that all logistics are flawless and adaptable to changes.
Manage high-stakes client events, and dinners, ensuring a superior standard of execution and attention to detail.
4. Operational Excellence
Serve as the Senior Manager’s operational linchpin, proactively driving efficiency in workflows, meeting preparation, and follow-ups.
Handle high volumes of expense management, procurement approvals.
5. Compliance
Seamless understanding of SG procedures, to ensure compliance with policies and also ensuring the most appropriate course of action on exceptions requests are taken.
6. Coordination
Coordination with core attendees to meetings, to ensure material is circulated in advance and provided to me on the format required, including printing

· Understanding global markets and financial services to facilitate informed decision-making and communication

· Good organisation skills and capacity to handle many different subjects at the same time
