V.I.E. Management Support Team Analyst
Responsibilities
AMER GBTO COO Pilotage function is responsible for coordinating and managing the day-to-day operations of the AMER GBTO COO office. This covers activities such as project & portfolio management, financial management, resource, staffing and sourcing management, platform OPEX governance, as well as strategic planning.
This function also has the responsibility for coordinating with other GBTO units (e.g., EQD, MAR, CLD, FTB, etc.), CIO and chief of staffs to ensure that the most appropriate levels of COO services are provided to meet current and future GBTO management needs.
Program Management
- Track and regularly update on Project/ Program Milestone status and alerts
- Act as a key point of contact for the project managers, assisting in creating the project plan/schedule, assigning resources to the project and time tracking
- Coordinate the end of month time tracking process
- Communicate project status updates to the Chief of Staff and COO periodically
- Attend Post Project Review meetings to identify key areas of improvement to be captured into the lessons learnt repository as part of project closure activity
- Assure proper and timely deliverables aligned to regional strategies
- Provide integrated view of progress and risk both, in AMER and at Global level. Facilitate the design and implementation of program governance.
- Assist in KPI/KRI production and analysis, as well as ad hoc presentations for Management
Participate in any governance allowing GBSU management to efficiently meet its financial and non-financial targets while delivering on all strategic objectives
Financial Management:
- Review of monthly GBTO financial statements (forecast & budget) with local Chief of Staff
- Generate finance and budget reports to address stakeholder needs
- Monitor financial KPIs and provide analysis to stakeholders and management
- Manage invoice approvals, accruals, and cost allocations
- Assist in the preparation of the annual budget exercise and forecast analysis
Resource Management:
- Run monthly meetings with GBTO managers and Chief of Staff to ensure staff plan forecast is aligned with trajectory
- Conduct analysis to improve efficiency / optimization of staff management
- Work with HR and staff within GBTO & GCOO Business Areas to manage headcount, cost centers and organizational charts
- Assist in the preparation of the annual budget exercise and forecast analysis
- Ensure global coordination with Paris on any Resource Management related questions

Studies & experience:
- Graduate with a Master's degree from a Business/Engineering School or University with a specialization in Business Management, Project/Program Management, IT, or Finance/Ecomonomics
Language skills:
Fluent in English (B2-C1)
Operational, technical & soft skills:
Good communication and presentation skills
Proficient in the Microsoft Office Suite (Excel, Word and PowerPoint). Technical knowledge of Pyramid is a plus
Experience in Business Intelligence tools (Tableau, Power BI) is a plus
Organization, attention to detail, and excellent analytical skills will be the keys to success in this mission.
Effectiveness, team spirit and an ability to work in a fast-paced and demanding environment
Must be self-motivated, communicative and able to work both, within a team and independently
The VIE assignment in a nutshell
This VIE in New York is to begin as soon as possible, but you need to plan 3 months between your application date and the beginning of your VIE assignment. It will last 18 months.
In case a visa is necessary, please make sure your passport is valid up to 6 months after the end of the VIE contract to not delay your departure.
