Responsibilities
Job Summary:
The Executive Assistant provides high-level administrative support to the executive team, ensuring smooth and efficient operations. This role involves managing schedules, handling correspondence, organizing meetings, and performing various tasks that contribute to the success of the executive and the organization. The Executive Assistant must maintain confidentiality, exercise good judgment, and exhibit professionalism at all times.
Key Responsibilities:
1. Calendar Management:
- Coordinate and manage the executive’s schedule, including meetings, appointments, travel arrangements, and events.
- Prioritize and organize a complex calendar, making adjustments as needed to accommodate shifting priorities.
2. Communication Management:
- Serve as the primary point of contact between the executive and internal/external stakeholders.
- Draft, edit, and manage correspondence, reports, presentations, and other documents.
- Screen and prioritize emails, phone calls, and other communications.
3. Meeting Coordination:
- Organize and prepare materials for meetings, including agendas, presentations, and minutes.
- Schedule and coordinate meetings, conferences, and other events, ensuring all logistics are managed.
4. Travel Arrangements:
- Arrange domestic and international travel, including flights, accommodation, transportation, and itineraries.
- Prepare travel expense reports and ensure timely submission for reimbursement.
5. Office Management:
- Maintain organization and efficiency in the executive’s office, including filing systems, supplies, and technology.
- Handle confidential and sensitive information with discretion.
6. Relationship Management:
- Build and maintain strong relationships with key internal and external stakeholders.
- Represent the executive in meetings or events as needed.
7. Problem-Solving:
- Address issues proactively, offering solutions and ensuring the executive is informed of any potential challenges.
Profile required
- Education: Bachelor’s degree in Business Administration, Communications, or related field preferred.
- Experience: Minimum of 5 years of experience as an Executive Assistant, preferably in a corporate or fast-paced environment.
- Skills:
- Excellent organizational and time management skills.
- Strong verbal and written communication abilities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to manage multiple tasks and prioritize effectively.
- Discretion and confidentiality in handling sensitive information.
- Strong problem-solving skills and attention to detail.
- Experience with travel coordination and expense reporting.
- Professional demeanor and ability to work well under pressure.
